DAILY COMMUNITY PROCEDURES

Purpose

Residents want to live in a community that is immaculate, inviting, and well-maintained. Daily procedures ensure our communities remain clean, welcoming, and ready for tours or resident needs.

Standard

  • Before business hours, the office, models, show units, and community areas must be tour-ready.

  • Employees are expected to walk the grounds daily and report any issues to the Property Manager.

  • The entrance, signage, and tour path (including 'Yellow Brick Road' where applicable) must be monitored throughout the day.

  • Team members should walk through hallways, breezeways, patios, pool areas, mail areas, and courtyards to ensure they are clean and hazard-free.

  • Hallways and breezeways must be cleaned weekly. Check all exterior lights weekly and inspect landscaping for any hazards, including dead plants or fallen branches.

Task Breakdown

  1. Community must remain clean, well-maintained, and free of debris.

  2. All community signage must be visible and direct guests clearly.

  3. Patios and balconies must remain free of clutter. Notify residents if violations are observed.

  4. Beginning of the day:

  • Check the drop box and retrieve messages.

  • Adjust thermostats and lighting for comfort. Ensure clean aromas.

  • Stock refreshments.

  • Restock brochures and business cards.

  • Clean entrances, amenities, tour routes, and common areas.

  • Restrooms must be cleaned and restocked.

  • Prepare and clean golf carts.

  • Review move-in/move-out and availability reports.

  • Respond to resident surveys or online reviews within 24 hours (2 hours is preferred).

  1. End of the day:

  • Enter all data into the property software (RealPage, etc.).

  • Return all calls and emails.

  • Confirm all reviews and surveys have been addressed.

  • Follow up on service requests and open issues.

  • Return all checked-out keys and lock the key boxes.

  • Lock resident files.

  • Tour and secure all models and amenities.

  • Forward phones and notify answering service.

  • Secure all golf carts.

  • Lock all entrances and set the alarm system.

  • Complete any site-specific end-of-day tasks (concierge duties, etc.).
