Service Request for Outside Vendors

Purpose

A Service Request is the form that details maintenance repairs completed by a service technician or outside vendor. This process is to be consistent and efficient to further strengthen the resident/management relationship.

Standard

All Service Requests must be in writing on the appropriate Service Request or in the service tracking system.

Bellaire Multifamily users must use the RealPage Facilities system. There must be one Service Request written per apartment per vendor. Multiple apartments and vendors cannot be written on a single Service Request.

When a Service Request is performed by an outside vendor or contractor, a copy must be left inside the occupied apartment.

Task Breakdown

1. When the Service Request is written, if it is known that it will be assigned to an outside contractor, it should be noted on their respective service request.

2. If it is not known whether an outside contractor will be called, the Service Request is placed on the work order board for the Service Tech or Supervisor’s decision.

3. The contractor will receive the Service Request.

4. Leave a copy of the completed Service Request in an easily viewed place in the resident’s apartment. Indicate the work performed, time in and time out, and if or when you will have to return to complete the work.

5. If the contractor discovers more work needs to be done once they begin the work, they will need to return to the office to have another Service Request created for the additional work.
